Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • The article has not been previously published or sent to another journal.
  • The file has been formatted with the template provided in Microsoft Word, rtf or wordperfect.
  • Web pages or dois have been added in references where possible.
  • Authors have followed the template format and all illustrations, figures and tables are in the correct place in the text and not at the end of the document.
  • The text meets the bibliographic requirements indicated.
  • The text does not contain personal information or any other information that will make the blind peer review process difficult.
  • I declare that I have the capacity (individually or from my institution) to assume the payment of APCs set by the journal in case the article is approved for publication. If I do not assume the initial cost, I assume that my article will not be published.

Author Guidelines

A. Guidelines for submission of manuscripts

The manuscripts will have to:

  • Address a relevant topic in the area of the qualitative  educational;
  • Suitably include the most relevant and current literature;
  • Contribute and expand our understanding on learning and the educational macro and micro processes.

All manuscripts have to be sent through the electronic platform (Open Journal System). The article must be uploaded using the following the following template.

The manuscripts can be written in English or Spanish and should be original, those can be accepted for publication if they have not been published before, nor submitted for review to other scientific journals. In order to ensure originality of the received manuscripts, we recommend the authors use programs of plagiarism detection. The authors that send a manuscript to Qualitative Research in Education, they are invited, including their professional data, to add their ORCID Id (If they have it). Regarding those authors who have not this ID, we invite you to register in ORCID in the following web: http://orcid.org

Qualitative Research in Education will not publish more than one article of the same authorship or co-authorship within 24 months period

Since its birth in 2012, QRE has not charged Article Processing Charges (APCs) to the authors for the publication of their manuscripts. From April 2021, QRE offers open and immediate online access of published articles (Gold Open Access). This access implies expenses associated with both the publication process and the necessary services for publication that, despite the voluntary work that is carried out, are not covered. This work supposes some charges of processing of the articles that should be covered once the articles are accepted by the authors. Therefore, authors will pay 600 euros to cover these charges. (plus 21% VAT only applicable to payments from institutions, companies, individuals and professionals residing in Spain; individuals residing in the EU, and companies, organizations and professionals residing in the EU without VAT Number).

Structure and format of the manuscripts

  • Title of the paper (up to 16 words).
  • Abstract and title of the article in the language of the document as well as in English and Spanish.
  • The key words in the language of the article, as well as in English and Spanish.
  • Text of the article: it is recommended to follow the traditional structure of a scientific article. The following sections are suggested: introduction, state of the art, methodology, results, discussion and conclusions.
  • Notes (that will go at the end of the document with the endnote format, before the reference list).
  • References.
  • In the case of submitting images, it is necessary to send them in jpeg format with the highest quality.

Writing style: The manuscripts have to follow the APA style (Publication Manual of the American Psychological Association, 7th edition, 2020). The following are some citation examples:

The authors should ensure the inclusion of the list of references and financial support if applicable.

Title Page: A separate document will be added with the name (in order of signature) of the authors, their affiliation, ORCID ID and email address.

Please indicate who is the corresponding author.

Format: The manuscripts submitted should have an extension between 4.000 and 8.000 words, including abstract, notes, references and annexes. The papers will be presented following the format of the template provided above.

Structure: The first page should contain the title of the article, which should not exceed 16 words. The second page should include an abstract and keywords. From the third page onwards, the title of the article and the text with notes (if any) and references should be included. The title, abstract and keywords should appear, at least, in English and Spanish.

Regarding the sections of the article, it is recommended to follow the traditional structure of a scientific article. The following sections are suggested: introduction, state of the question, methodology, results, discussion (optional) and conclusions.

Abstract and keywords: All manuscripts should include an abstract between 150 and 200 words explaining concisely the reasons and object of the manuscript, the methodology used and the main results and conclusions. It is also necessary to include between three and five keywords that defined the article and serve to identify the content of the work.

Source of funding: In the case that the research from which the article has been developed has received funding. The name of the agency and the project code must be indicated both in the specific section of the form for sending the article and in the article itself in the section on acknowledgments.

Notes: These should be avoided when possible. Notes will be at the end of the text and not footnotes to avoid distractions while reading.

Abbreviation: The only abbreviations that can be used are those universally accepted.

Gender equality: Follow the indications of the guide APA 7th edition for the use of an inclusive language in the writing of the article; Include the full name of the authors who sign the article; Inform about the original data of the research, taking into account the sex in order to allow the identification of possible differences.

Author identification: Authors must participate in a peer review process. Therefore, the authors should avoid disclosing their identity, especially in the first pages of the manuscript. The name of the author(s) must not appear on any page of the manuscript, as well as citations and author references throughout the text.

Information about the authors will be included in the electronic platform and it should not appear in the manuscript sent for review. In the platform has to be stated the name and last name of each of the authors (in order of preference), full name of the work place of each of the authors (Department, Faculty, University), the position they hold in their institution and complete postal address and electronic address of the responsible or first author as the responsible of the correspondence. All authors have significantly contributed to the research.

Contribution to the preparation of the article: Information on the specific contribution of each of the authors of the submitted article should be provided in a separate document to be attached to the submission. This document will indicate the criteria chosen for the order of signature of each author and the specific contribution of each of them in the preparation of the article.

Title of the page headline: It should be included also in the first page a title of less than 25 characters. The title should be informative and specific to explain the meaning and aims of the work.

Language: Manuscripts submitted should be grammatically correct independently of the language used. It is responsibility of the authors to ensure that the submitted manuscript follows the language standards required by the publication of the scientific journal. If English is not the first language, authors are invited to use the author's services of language edition.

Hipatia Press requires to future authors to send the manuscripts with an excellent language edition. If the manuscript is written in a second or third language, it is recommended to first contact a language reviewing service to avoid grammar and style mistakes.

 

Changes to authorship:

Authors are strongly advised to ensure the correct author group, and the order of authors at submission. Changes of authorship by adding or deleting authors, and/or changes in Corresponding Author, and/or changes in the sequence of authors are not accepted after acceptance of a manuscript.

 

Evaluation Procedure: All of a journal’s content is subjected to peer-review, which is defined as obtaining advice on individual manuscripts from reviewers’ experts in the field of publication.

When a manuscript is submitted, the editors screen the manuscripts to make sure that all the files have no identifying information on the authors and that the article has not been published elsewhere. Then, in a time period of 15 days maximum from the date of reception of the article, the journal editor will assign it to two external evaluators that will carry out a blind review of the article (double-blind peer review). Over the review period of the article, both the names of the authors as well as the evaluators will be anonymous.

Peer reviewers are identified by editors of the journal, who are experienced researchers in their fields. The most suitable reviewers are selected according to the submission received and the reviewer's expertise and no conflict of interest; also a network of scholars can collaborate as reviewers in our journal.

The assessment form asks the peers to: a) indicate the quality and concordance of the different parts of the content with the journal on a scale of 1 to 4, b) give their opinion about the manuscript, including suggestions, remarks and point out relevant published work which is not yet cited, and, c) give a recommendation to publish the paper or not, including the possibility to recommend the paper for publication, on the condition that certain corrections or major changes are carried out first. In addition, in the review form, the referees are asked if they wish to make further confidential comments to the editors, to help make a decision to editors.

The Editors are in charge of exploring the reviewer's reports and exchange opinions with some members of the editorial board in order to make a proper decision whether an article could be publishable or not. The decision is reached through the reviewers' reports. All judgments and findings in the peer-review process will be objective.

Editors check all the reviews done and contrast the reviewers' notes with the content of the article before sending decisions and reviewers comment to authors. If reviewers do not carry out their duty correctly, editors will delete them from the list and send the article to another reviewer or to a member of the editorial board to carry out a fast-track review of the manuscript.

In cases where Editors have doubts after the process of review, they double-check the evaluation with some members of the Editorial board, according to their field of specialization, in order to reach an agreement and a decision on the manuscript.

The authors should consider, when necessary, the observations of the reviewers and editors of the journals and send a new text for publication with the changes suggested.

The result of the evaluation will be send to the authors in a maximum period of 3 months from the date of reception.

A list of all persons who have reviewed the previous year's issues will be published annually.

All parties involved in the publishing process (editors, reviewers, authors and others) must adhere to the publication ethics and malpractice statement.

In addition, it is their responsibility to obtain the corresponding permits to include published material in other journals or books as well as to reproduce images, texts, tables or figures from other authors.

How do we obtain your data?

Mainly, we obtain your data through the information you provide us with through forms such as the registration process of the magazine or the aggregation of contributors in the article. This information is name, surname, affiliation, country, and email address. Optionally, you can also provide us with your telephone number, postal address, biographical summary, ORCID, and image.

Purpose

Your data will be used in connection with the role you undertake in the magazine, but will generally be used for notification, management, and publication of submissions. This data will not be shared with third parties and will always be visible to the editors and administrators of the magazine.

The journal has different roles, which are grouped into the following: Reader, Author, Reviewer, and Editor. Given that the purpose of the data depends on the role exercised in the journal, we show below the purpose of each of them:

  • Reader: the data will be used for identification and notification of new numbers (the latter only in case the user allows notifications).
  • Author: in addition to identification and notification, your data will be used for article management purposes by the editor. Once the article has been accepted and published, the name, surname, affiliation, ORCID, and biography will be indexed in the journal's databases and visible to the journal's readers and visitors, according to the signed agreement.
  • Reviewer: due to the blind review, reviewers will at no time have access to the author's personal data. Your personal data will be consulted by the editors in order to be selected in the review process.
  • Editor: The editor's personal data (first name, surname, affiliation, and country) are visible on the "Editorial Team" page for identification purposes.
  • Administrator: the administrator of the magazine is a single role held by the Hipatia Press technical team. This role is not involved in the editorial activity and can consult and edit all incoming data in the system for management purposes and to solve technical problems.

Retention period of your personal data

In general, the personal data provided by the user will remain in the database, unless the user expressly requests otherwise. In the latter case, we will apply the rights arising from the data processing. 

Recipients of personal data

 

In general, the data entered will be used for the identification and management of the system. Users who are not involved in the publication process, such as readers, their data will be used for notification purposes, the recipient of the data being the technological system itself, which will process them for this purpose.  On the other hand, active users, such as authors or reviewers, the main recipients are the journal editors who will use their data for notification, identification, and management of the publication process.

 

It should also be noted that some data will be published on the journal's website, in which case the recipients will be the visitors themselves. In the case of editors, their personal data (name, surname, affiliation, and country) will be displayed on the "Editorial Team" page for identification purposes. On the other hand, in the case of authors, their personal data (name, surname, affiliation, ORCID, and biography) will be visible on the page of the final published article, as indicated in the signed agreement.

 

Finally, in relation to the data of minors, an explicit contract from the minor's guardians is required in order to register and manage their data in the system.

 

Rights arising from the processing of personal data

 

Registered Hipatia users have the right to:

-        Access: request information on what personal data the system stores and the processing applied.

-        Ratification: request the rectification of personal data.

-        Opposition: you may oppose the processing of personal data, unless it is strictly necessary for the editorial process, as indicated in the regulations. -        Suppression: you can request the suppression of your personal data as long as it does not affect the articles published according to the agreement signed.
